Reporting to the Shop Manager, the Service Writer will serve as the main customer contact for external/commercial customers for intake of work and notification of job status or additional work needed, and approval for such. As the Parts Room Person, this team member is responsible for maintaining inventory levels necessary to operate an efficient shop, tracking all incoming and outgoing parts and supplies and assuring they are properly accounted for in TMT and charged to the appropriate RO and Invoice. This position will be responsible for closing ROs and Invoices and notifying customers of job progress and completion.
• Technical background, tractor or trailer maintenance or parts experience is required.
• Experience with computers, good keyboarding skills, and be familiar with Windows.
• Excellent customer service, oral and written communication skills.
• Demonstrated planning, organizing and prioritization skills.
• Communicate with customers about repairs, status, and approvals.
• Schedule units for service.
• In liaison with the Shop Manager, offering suggestions to customers on how best they can repair their vehicles.
• Communicate with the shop manager, parts person, lead hand and mechanics to ensure prompt completion of jobs.
• Customer service representative for all customers, including initial writing of customer complaints, initial estimates, and staying in contact with the customers through the job process.
• Communicating job requirements to the shop manager or lead hand and working with the shop for scheduling.
• Verifying that all labour and parts are accounted for on ROs and Invoices, both commercial and internal.
• Communicate emergency triage requests to the.lead hand
• Close work orders and invoice customers when a job is complete.
• Utilize shop planner.
• Scan shop documents to repair orders.
• Other duties as assigned by management.
• Strong interpersonal and communication skills.
• Proven track record of group leadership and commitment to quality and safety.
• Knowledge of operating standards, policies and procedures would be helpful.
• Possess a thorough knowledge of heavy-duty truck parts and vehicle systems preferred.
• Computer literate (Windows / MS Office) (TMT preferred).
• Strong interpersonal & problem resolution skills
