Job Details

The HRIS Specialist owns the configuration, maintenance, and continuous improvement of the organization's core HR technology platform. This role sits at the intersection of HR operations and systems administration, translating business and process requirements into effective system configuration while safeguarding data integrity, system stability, and a strong end-user experience. The successful candidate will lead configuration work, drive new module implementations, manage external integrations, and own the release and testing cycle that keeps the platform current and reliable.

Responsibilities

Configuration & Change Management

  • Lead configuration changes across the HRIS, including business rules, workflows, security roles, notifications, and data structures.
  • Assess the downstream impact of proposed changes and manage them through a controlled change-management process with appropriate documentation and approvals.
  • Serve as the subject-matter expert on system capabilities, advising stakeholders on what the platform can and cannot support.

Module Implementations

  • Lead or support the implementation of new HRIS modules.
  • Gather and document requirements, configure and unit-test new functionality, and coordinate data migration, integrations, and stakeholder readiness.
  • Partner with vendors, IT, and cross-functional teams through each phase from design to go-live and post-launch stabilization.

Integration Management

  • Manage external integrations to and from UKG, including interfaces with payroll, benefits providers, third-party vendors, and other internal and external systems.
  • Monitor integration health, troubleshoot failures, and coordinate resolution with vendors and IT.
  • Assess the impact of configuration and release changes on existing integrations and manage updates to inbound and outbound data feeds.

Process Enhancement

  • Identify opportunities to streamline, automate, and improve HR processes through better use of the system.
  • Reduce manual effort and error by optimizing workflows, self-service, and reporting.
  • Document processes and configuration decisions and maintain up-to-date system documentation and standard operating procedures.

Release Management & Testing

  • Manage the platform's release cycle, including reviewing vendor release notes, assessing the impact of new features and updates, and communicating changes to stakeholders.
  • Build and execute test plans and test cases (unit, regression, and user acceptance testing) for configuration changes, releases, and implementations.
  • Coordinate UAT with business users, track and resolve defects, and sign off on changes before promotion to production.

Support & Data Integrity

  • Provide tier 2/3 support for HRIS issues, troubleshooting configuration and data problems.
  • Maintain data accuracy and integrity through audits, validation rules, and routine reconciliation.
  • Support reporting and analytics needs by ensuring data is well-structured and accessible.

Qualifications

Experience

  • 5–8 years of progressive experience in HRIS management, configuration, and administration.
  • Hands-on experience with UKG Pro and UKG Workforce Management (Dimensions), including configuration and administration.
  • Demonstrated experience leading configuration changes, module implementations, and release/testing cycles.
  • Experience managing external integrations to and from an HRIS platform.

Skills & Competencies

  • Strong understanding of HR processes and how they map to system configuration.
  • Proven ability to gather requirements and translate business needs into technical solutions.
  • Solid testing discipline and familiarity with structured change-management and release practices.
  • Strong analytical and problem-solving skills, with high attention to detail and data accuracy.
  • Effective communication skills, with the ability to work across HR, IT, and vendor partners.
  • Ability to manage multiple priorities and projects concurrently.

Education

  • Post-secondary education in Human Resources, Information Systems, Business, or a related field, or an equivalent combination of education and experience.

Assets

  • Experience with major HRIS integration projects and implementations.
  • Familiarity with reporting/analytics tools and process automation.
  • Experience in a unionized or multi-jurisdiction environment.
