The Dispatch Specialist provides functional direction, coaching and quality oversight during the shift. The role has authority to make and coordinate operational decisions within approved safety, service, customer and cost parameters, but does not hold formal people-management authority.

Who You Are

  • Strong knowledge of transportation operations, dispatch planning, driver management, equipment utilization and customer service.
  • Judgment under pressure and ability to balance safety, service, capacity and cost across multiple priorities.
  • Ability to lead, coach and hold others accountable for operational follow-through without formal supervisory authority.
  • Strong problem-solving, conflict-resolution, service-recovery and communication capability.
  • High system discipline using TMW or other transportation-management systems, Microsoft Office and operational reports.

Responsibilities

Shift performance and operating control

  • Own overall dispatch coordination and operating-plan execution during the assigned shift.
  • Establish shift priorities, distribute work across dispatch desks and rebalance workload when conditions change.
  • Maintain a current view of freight demand, driver capacity, equipment availability, Hours of Service and customer commitments across the operation.
  • Initiate corrective action when safety, service, utilization, productivity or documentation expectations are at risk.
  • Conduct structured shift handoffs with every material exception assigned to a named owner and next action.

Complex planning and service recovery

  • Lead recovery planning for significant disruptions, including driver or equipment shortages, weather events, missed appointments and multi-load service failures.
  • Make or coordinate load, driver and equipment reassignments within approved operating requirements.
  • Resolve competing priorities across dispatch desks and coordinate support from other terminals or operating groups.
  • Escalate issues beyond delegated authority with the impact, actions taken, options and recommended decision.

Dispatcher leadership, coaching and quality

  • Serve as the first operational escalation point for Dispatchers.
  • Provide functional direction during the shift and verify assigned actions are completed.
  • Coach Dispatchers on planning discipline, customer communication, safe decisions, system accuracy and escalation standards.
  • Support onboarding and practical training of new Dispatchers.
  • Review dispatch records, load status, trip events, service-failure documentation and shift handoffs; correct immediate gaps and report recurring concerns.

Safety, compliance and risk control

  • Ensure shift decisions account for driver safety, Hours of Service, equipment condition, road conditions, jurisdictional requirements and company procedures.
  • Stop, delay or revise work when a safety or compliance concern is identified within delegated authority.
  • Ensure incidents, hazards, service failures and compliance exceptions are documented and escalated promptly.

Performance monitoring and improvement

  • Monitor on-time performance, service failures, driver and equipment utilization, loaded-mile performance, order-status accuracy and documentation completion.
  • Implement immediate corrections within authority and recommend longer-term improvements to the Dispatch Manager.
  • Provide a concise shift summary covering results, major exceptions, unresolved risks and required follow-up.

Qualifications

  • High school diploma or equivalent required; post-secondary education in transportation, logistics or business is an asset.
  • Typically 4 to 6 years of progressively responsible dispatch, fleet coordination or transportation-operations experience.
  • Demonstrated experience coordinating complex decisions across more than one dispatch desk, customer group or operating area.
  • Demonstrated experience leading service recovery, coaching peers and serving as an escalation point.
  • Flatdeck, specialized, bulk, hazardous-commodity or cross-border experience is an asset where relevant.
